Role Overview:
The VP/Director of Operations & Executive Assistant will oversee office operations, HR functions, finance, and organizational culture. Reporting directly to the CEO, this role is pivotal in aligning operations with strategic goals while fostering a collaborative workplace. As a trusted advisor to leadership, this position also ensures employees have a supportive and efficient environment to thrive.
The ideal candidate will be highly organized, adaptable, and capable of managing confidential matters with professionalism. This leadership role allows you to refine processes, enhance the employee experience, and directly support executive decision-making. The position currently supervises one direct report but may expand based on operational needs.
Key Responsibilities:
Operations:
- Serve as the primary liaison with coworking space providers.
- Manage leases, contracts, office moves, and budgets.
- Track attendance, hours, and sustainability metrics.
- Oversee cybersecurity awareness training and IT equipment management.
- Lead team meetings and vendor negotiations.
- Maintain compliance with insurance renewals and operational policies.
Human Resources:
- Manage onboarding, payroll, and employee relations.
- Conduct performance reviews and maintain HR compliance.
- Administer benefits enrollment and update employee handbooks.
- Provide leadership training and ensure adherence to employment laws.
- Document and resolve employee relations matters confidentially.
Finance:
- Handle QuickBooks for expense tracking, accounts payable, and client invoicing.
- Support financial audits and tax filings in collaboration with the CPA.
- Ensure accuracy in financial documents and SOWs.
Culture & Engagement:
- Plan engagement activities like team-building events and holiday celebrations.
- Organize award submissions and analyze employee engagement surveys.
Executive Support:
- Prepare correspondence, presentations, and meeting notes for the CEO.
- Assist with scheduling, travel arrangements, and personal tasks.
Qualifications:
- Bachelor’s degree in business, HR, or a related field.
- 7+ years in operations, HR, or administrative leadership roles.
- Strong knowledge of QuickBooks, HRIS platforms, and employment laws.
- Exceptional organizational and analytical skills.
- Proven experience in sustainability initiatives and employee engagement.
- SHRM-CP certification is a plus.
Additional Information:
This role offers a competitive salary ($120,000–$170,000) with opportunities for additional compensation through bonuses. While a hybrid work environment is available, local candidates who can enhance in-office culture are preferred. Fully remote candidates outside New York City will also be considered.
