Job Description
Job Summary:
The HR Administration Analyst is responsible for managing personnel administration for employees across Mexico and Central America. This role involves maintaining and updating employee records in the company’s HR systems, ensuring compliance with legal regulations and HR policies. Additionally, the analyst will lead process improvements to drive efficiency and support HR operations with a focus on cost and time savings.
Key Responsibilities:
– **Employee Information Management**: Maintain accurate employee data within HR systems (SF, SAP, OP), collaborating with Business Unit Managers to ensure data security and integrity. This includes updating organizational structures, handling promotions, and managing salary adjustments, in compliance with legal and documentation requirements.
– **Payroll Support**: Monitor biweekly and weekly payroll processes to ensure timely and accurate payments.
– **Process Improvement**: Develop, recommend, and implement new processes for personnel administration to improve efficiency and service delivery.
– **Collaboration with Recruitment**: Work closely with the recruitment team to facilitate new hires, including benefits orientation and HR systems onboarding.
– **Social Security Benefits**: Ensure that employee movements, such as new hires, terminations, and pay adjustments, are accurately reported to the Mexican Social Security Institute (IMSS) in compliance with legal requirements, maintaining timely access to employee benefits.
– **Employee Termination Process**: Oversee the professional employee termination process, coordinating with relevant departments to ensure timely and accurate processing. Assist with requests for employment verification letters and other official documents.
– **Savings Platform Management**: Administer employee savings plans, including retirement, savings fund, and life insurance benefits, managing vendor relations to address operational issues, and reporting employee status changes for benefits.
– **Employee Support**: Provide in-person and remote support for employee inquiries and requests through the AskHR platform.
Required Knowledge, Skills, and Abilities:
– Experience in HR processes, personnel administration, and HR systems (Success Factors, SAP).
– Familiarity with payroll, compensation, benefits, and compliance (IMSS and Federal Labor Law).
– Strong multitasking and prioritization skills, along with analytical and problem-solving abilities.
– Proficiency in Excel (advanced level) and basic SAP knowledge.
– Customer service orientation with strong communication skills.
– Advanced English proficiency preferred.
Education and Experience:
– **Education**: Bachelor’s degree in Industrial Relations, Human Resources, Administration, or a related field.
– **Experience**:
– 3 to 5 years in HR administration, personnel administration, HR systems management, and data analysis.
– Advanced Excel skills and familiarity with HR systems, with Success Factors preferred.
– Must be open to working a night shift (8:00 pm to 5:00 am).
