Job Description

Job Title: Administrative Support Associate

Position Overview

The Administrative Support Associate plays a vital role in ensuring efficient operations within the organization. This role involves managing operational tasks, personnel records, human resources functions, and onboarding processes. The ideal candidate will contribute to maintaining compliance standards, coordinating schedules, and supporting Nursing and Patient Care Services across multiple departments. As part of a centralized team, this position requires adaptability and strong organizational skills.


Key Responsibilities

Operations

  • Generate and review compliance reports to maintain regulatory adherence, following up with team members as needed.
  • Track budgets, analyze financial variances, and ensure accurate reporting.
  • Oversee employee timecards and attendance records to support payroll accuracy.
  • Develop schedules for nursing staff to ensure resource optimization and operational continuity.
  • Process document requests and assist with departmental needs.

Personnel Management

  • Monitor mandatory training compliance and provide regular updates on employee progress.
  • Manage and maintain employee records, including degrees, licenses, and certifications.
  • Ensure timely revalidation and tracking of professional credentials.
  • Address ID badge issues and maintain accurate employee files for compliance.
  • Serve as a resource for team members regarding policies and certifications.

Human Resources Duties

  • Facilitate communication by mailing letters and maintaining organized personnel files.
  • Handle termination processes, including proper archival of employee records.
  • Act as a primary contact for Talent Care Center and Talent Acquisition matters.

Onboarding and Orientation

  • Assign lockers and prepare orientation materials for new employees.
  • Conduct welcome meetings to introduce team members and provide time attendance training.
  • Grant system access and support the integration of new hires into unit operations.

Qualifications

Education

  • High school diploma or equivalent.

Experience

  • A minimum of two years of administrative support experience involving diverse and complex responsibilities.

Skills and Abilities

  • Proficiency in office management tools and systems.
  • Strong organizational and time management skills.
  • Effective communication and interpersonal abilities.
  • Ability to handle confidential information with professionalism.
  • Familiarity with department policies and procedures.
